Equipment

What products does Hofy offer?

We provide all the products your teams need to do great work at home. Specifically:

  • Devices (laptops, iPads and mobile phones);
  • IT accessories and peripherals (monitors, mice, keyboards, webcams etc.);
  • Ergonomic office furniture (desks, chairs, foot rockers etc.);
  • Office accessories (task lights, ring lights etc.).

We stock a range of brands, including Apple, Microsoft, Dell, Logitech, and Humanscale.


What if we have already provided our team members with equipment?

You can track this equipment on the Hofy platform (as well as any work equipment your employees own and use) alongside your Hofy equipment so you have a centralised record of all your equipment.

If you have already supplied your team members with devices, you can subscribe to our device handling service to enjoy the same lifecycle support (repairs, a loaner device if the laptop needs repairing, and logistical support) that you would get if you rented equipment from Hofy.

Onboarding and deliveries

How long do deliveries take?

We commit to delivering orders within 10 working days; though in practice, over 99% of orders are delivered within 5 working days.


What regions does Hofy cover?

We are a global service. We offer all of our services in our core geographies (the UK, US and EU27 & EFTA), and the majority of our services worldwide.

IT services

What IT services does Hofy offer?

We offer 2 core IT services, designed to enhance your organisation’s security and productivity without draining your IT department’s time.

  • A device set-up service (Device Pre-Configuration);
  • A device management service (Mobile Device Management/Unified Endpoint Management)

How does Hofy’s Device Pre-Configuration service work?

We ensure your employees have ready-to-use laptops for day one of their employment, no matter where in the world they are. This is a custom service, but features include: pre-creating user accounts, installing applications and updating the device to the latest security patch. 

Hofy can also add devices to your Apple Business Manager account to automate enrolment of software, apps and accounts across all your Apple devices.

How does Hofy’s Mobile Device Management/Unified Endpoint Management (MDM/UEM) service work?

We install software onto your devices that allow you to remotely monitor, update and secure them. With our MDM service, you can remotely wipe and/or lock devices, and ensure devices are encrypted, have strong passwords, updates are installed automatically etc. We set up, manage and maintain this service on your behalf.

Lifecycle management

What equipment lifecycle support services are included with Hofy rentals?

All equipment rentals include our full range of lifecycle support services as standard, including global equipment delivery, in-transit loss and damage protection, hardware support, premium warranty, courtesy device loan service, and global equipment recovery.


What happens if a team member’s laptop breaks or arrives damaged?

We guarantee that a laptop arrives in working order, and will replace a laptop that arrives damaged and take care of all the insurance claims from our courier network. 

If an employee’s laptop breaks, we will provide a loaner laptop so your team member can keep working while we carry out repairs.


What happens if a team member’s equipment breaks?

If there is a fault with the product, we will replace the product free-of-charge.

If a team member accidentally breaks a product, we will assess the cost of the damage and consult you. If you are happy with the repair price, we will add to your next invoice. If you do not wish to pay for the repair, you may cancel your contract subject to cancellation terms.

Compliance

How does Hofy help companies stay health and safety (H&S) compliant?

Every jurisdiction prescribes minimum safety standards for equipment used for work. Hofy checks all equipment against local H&S legislation before delivering to ensure the equipment your teams use meets the minimum standards where they’re based.

You are also required to assess employees' workstations to ensure they can work safely and comfortably at home. We offer H&S workstation assessments in-platform, which meet or exceed UK and EU Directive requirements (e.g. use of Display Screen Equipment).


How does Hofy help companies stay tax compliant?

Renting equipment through Hofy avoids the tax implications of gifting equipment to employees.

If you gift equipment - either upon purchase or when an employee leaves your organisation - you may need to report it on the employee’s payroll and tax return that a gift of a certain value was given to the employee. Your employee may then face income tax and national insurance charges on the value of the equipment.

If you rent, Hofy owns the equipment for the duration of the rental and collects the equipment at the end of the contract. No payroll reporting duties. No tax risk.


What happens if a team member’s equipment breaks?

How does Hofy help companies stay InfoSec compliant?

Hofy’s Mobile Device Management (MDM) service implements a baseline set of security controls that helps secure Windows and Mac devices. This includes software updates, disk encryption, anti-virus, screen lock and USB blocking. 

Through Hofy’s IT services (including Device Pre-Configuration and MDM) companies can safely and securely onboard and offboard employees’ devices worldwide.

Offboarding and collections

What happens if an employee leaves the company before the end of a rental contract?

If any employee leaves mid-contract, you have 3 options:

  • Redistribute their equipment to another team member - Hofy can collect equipment from your outgoing employee and transfer it to a local office, or directly to another team member.
  • Cancel the contract - See the Billing section for more information on possible cancellation fees.
  • Allow the outgoing employee to keep the equipment - See the Billing section for more information on purchase fees.

Billing

How does renting equipment from Hofy work?

You can rent equipment on 6, 12, 24 or 36 month contracts. Hofy owns the equipment for the duration of the rental and collects the equipment at the end of the contract


Can I keep equipment at the end of a rental contract?

Yes. You simply need to pay a small purchase fee which can be agreed separately.


What payment options do you offer for rental contracts?

You can choose to pay for your equipment rentals via monthly, annual, or upfront payments.

If you choose to pay annually or upfront, you will be eligible for a discount. Monthly and annual payments are subject to successful credit checks.


How will I be invoiced?

We (or our Finance Partner) will invoice you at the end of every month for all your equipment rentals. You have 14 days from the date of invoice to make your payment.


Can I cancel a rental agreement?

Yes, you can cancel your subscription at any time and receive a discount on the remaining contract value.
